Site Management

Sites are the heart of Tenaxis. This section covers everything you can do with SharePoint sites - viewing them, creating new ones, understanding their health, and managing their members.


The Sites List

Go to Sites in the left sidebar to see all SharePoint sites Tenaxis manages for your organization.

What You See in the List

Each site in the list shows:

LifecycleWhether the site is active, due for renewal, or escalated

TemplateWhich site template was applied (if any)
SourceWhether the site was provisioned through Tenaxis or imported from M365
Last SyncedWhen Tenaxis last checked this site's membership data
Last ActivityWhen the site last had any activity in SharePoint

Site Statuses

  • PROVISIONING - The site is currently being created in Microsoft 365 (usually takes 1–5 minutes)
  • READY - The site is live and active
  • FAILED - Something went wrong during creation; contact your admin or check the audit log
  • DELETED - The site has been archived/soft-deleted in Tenaxis (it may still exist in M365)

Lifecycle Statuses

  • ACTIVE - Normal state; the site is in regular use
  • RENEWAL PENDING - The site has been inactive and the owner has been notified to confirm they still need it
  • ESCALATED - The owner didn't respond to the renewal notice; admin intervention is needed

Creating a New Site (Direct Provisioning)

Admins can create a new SharePoint site directly, bypassing the request workflow:

  1. Click New Site (top right of the Sites page)
  2. Fill in the details:
    • Site Name - The display name users will see (e.g., "Marketing Project 2026")
    • Mail Nickname - The short identifier used in the URL and email address (e.g., marketing-project-2026, no spaces)
    • Template (optional) - Choose a pre-built site configuration (sets up document libraries and folders)
    • Security Policy (optional) - Apply a sharing and access policy immediately
  3. Click Create

Tenaxis will create the Microsoft 365 Group and SharePoint site in the background. The site will appear in the list with status PROVISIONING and switch to READY once complete (usually 1–5 minutes).

Naming Policy: If your organization has a naming policy set up (see Settings), the site name must follow those rules - for example, it might require a department prefix like IT- or HR-.


Site Detail View

Click on any site name to open its detail view. Here you'll find:

Overview Tab

  • SharePoint URL - The direct link to the site in SharePoint
  • Security Policy - Which policy is currently applied
  • Template - Which template was used (if any)
  • Risk Score - With a breakdown of why the score is what it is
  • Last Verified - When Tenaxis last confirmed the site's settings match the applied policy

Members Tab

A full list of everyone with access to the site:

  • Role - OWNER, MEMBER, or VISITOR
  • Name and email - Who they are
  • Account Status - Whether their Microsoft 365 account is enabled or disabled

From here you can:

  • Add a member - Search by name or email and assign a role
  • Remove a member - Click the remove button next to any member
  • Change a member's role - Adjust between OWNER and MEMBER

Guests Tab

External users (people outside your organization) who have been given access to the site. These are sometimes called "guest users" or identified by #EXT# in their email address.


Understanding Risk Scores

Each site automatically receives a risk score from 0 to 100. The higher the score, the more attention the site needs.

What raises a site's risk score:

What you can do to reduce risk:

  1. Apply a security policy (see Policies)
  2. Remove external users who no longer need access
  3. Disable sharing for anonymous/external users through the policy settings
  4. Remove disabled accounts (see Offboarding)
  5. Ensure lifecycle management is enabled (see Lifecycle Management)

Alert Threshold: You can set a risk score threshold in Settings. When any site exceeds this threshold, you'll receive an alert. See Settings.


Applying a Security Policy to a Site

You can apply (or change) a security policy on an existing site:

  1. Open the site detail view
  2. Click Apply Policy
  3. Select the policy you want
  4. Click Apply

Tenaxis will push the policy settings to SharePoint via Microsoft Graph. This changes the site's actual sharing settings - not just a Tenaxis label.

You can also apply a policy to multiple sites at once from the Policies page. See Security Policies.


Syncing a Site

Tenaxis automatically syncs site membership data from Microsoft 365 on a schedule. But if you've made changes directly in SharePoint or need an immediate update:

  1. Open the site detail view
  2. Click Sync Now

Tenaxis will pull the latest member list, visitor list, and site settings from Microsoft Graph and update the dashboard.

You can also trigger a sync of all sites at once from the Sites list by clicking Sync All.


Archiving / Deleting a Site

To remove a site from active management in Tenaxis:

  1. Open the site detail view
  2. Click Archive Site (or the delete/trash icon)
  3. Confirm the action

This performs a soft-delete in Tenaxis - the site remains in Microsoft 365 but is marked as DELETED in Tenaxis and removed from your active management dashboard.

Important: Archiving in Tenaxis does not delete the SharePoint site in Microsoft 365. To permanently delete the site in M365, you would need to do that in the SharePoint or Microsoft 365 Admin Center separately.


Bulk Actions

You can take actions on multiple sites at once:

  1. Use the checkboxes on the left of each site row to select them
  2. A toolbar will appear with available bulk actions:
    • Apply Policy - Apply the same security policy to all selected sites
    • Archive - Archive all selected sites

Teams Integration

If your SharePoint sites are backed by Microsoft Teams (which is common for project sites), you can manage the associated Teams in the Teams section. See Users & Access → Teams.
