Notifications
Tenaxis keeps you informed about important events through two channels: in-app notifications (the bell icon) and email alerts. You don't have to constantly check the dashboard to stay on top of what's happening.
In-App Notifications
The bell icon in the top right corner of the Tenaxis dashboard shows your notifications. A red badge on the bell indicates you have unread notifications.
Viewing Notifications
- Click the bell icon
- A dropdown opens showing your most recent notifications (up to 20)
- Unread notifications appear in a distinct style
- Each notification shows:
- The notification type (e.g., "Request Approved", "Site Escalated")
- A brief description of what happened
- A timestamp showing when it occurred
- A link to the relevant page in Tenaxis (e.g., the specific site or request)
Notification Types
| Notification | When it appears | Where it links |
|---|---|---|
| Request Approved | Your site provisioning request was approved | The approved request details |
| Request Rejected | Your site provisioning request was rejected | The rejected request (includes admin's note) |
| Lifecycle Escalated | A site you're responsible for didn't get renewed in time | The escalated site |
| Risk Alert | A site's risk score exceeded the configured threshold | The high-risk site |
| Access Review Due | An access review is due soon and needs your attention | The pending access review |
Marking Notifications as Read
- Click on a notification to open the linked page - this marks it as read automatically
- Or click Mark All as Read to clear all unread notifications at once
Dismissing Notifications
To remove a notification permanently:
- Click the X button on the notification
- It's removed from your list
Email Notifications
Tenaxis sends email notifications for key events. These go to the email addresses configured in your workspace settings.
Who Receives Email Notifications
| Event | Who gets the email |
|---|---|
| Site request submitted | All Tenaxis admins |
| Request approved | The person who submitted the request |
| Request rejected | The person who submitted the request (includes admin's rejection note) |
| Lifecycle renewal notice | The site's owner(s) |
| Access review invitation | The site's owner(s) |
| Site escalated | All Tenaxis admins |
| Weekly digest | All Tenaxis admins (if enabled) |
Lifecycle Renewal Emails
When a site hasn't been active for your configured threshold period, the site owner(s) receive an email:
Subject: "Action Required: Your SharePoint site [Site Name] needs renewal"
Contents:
- Which site needs renewal
- How long it's been inactive
- A Renewal Link - clicking this confirms the site is still needed
- The deadline for renewal before admin escalation
The owner clicks the link and is taken to a simple confirmation page - no Tenaxis login required.
Access Review Emails
When an access review cycle starts for a site, the owner(s) receive an email:
Subject: "Action Required: Access Review for [Site Name] due [Date]"
Contents:
- Which site needs reviewing
- The due date
- A Review Link - unique, secure link to the review page
- Brief instructions
The owner clicks the link and can complete the review without logging into Tenaxis.
Request Decision Emails
When an admin approves a request:
"Your request for a new SharePoint site '[Site Name]' has been approved. Your site will be ready shortly at [URL]."
When an admin rejects a request:
"Your request for a new SharePoint site '[Site Name]' has been declined. [Admin's rejection note]"
Weekly Digest Email
If enabled in Settings, all admins receive a weekly email every Monday with:
- A summary of all sites with risk scores above the configured threshold
- New high-risk findings from the past week
- A prompt to review and take action
To enable: Settings → Alerts → Weekly Digest → ON
Configuring Alert Preferences
Go to Settings → Alerts to configure when you receive alerts:
| Setting | What it controls |
|---|---|
| Risk Threshold | Sites above this score trigger an alert (0 = disabled) |
| External User Alerts | Notify when an external guest is added to any site |
| Stale Sync Alert | Alert when a site hasn't been synced for N days |
| Weekly Digest | Get a weekly email summary of high-risk sites |
Configuring Notification Email Address
The email used for admin notifications is the email address associated with your Microsoft 365 account. If you need to route notifications to a different address (e.g., an IT team inbox), this can be configured in:
Settings → Account → Notification Email
Enter the email address where you want admin notifications to be delivered.
Notification Best Practices
- Review notifications daily - The bell icon is your first alert for items needing action. Check it at least once a day
- Enable the weekly digest - This gives you a regular cadence for reviewing your security posture, even on quiet weeks
- Set a sensible risk threshold - Too low (e.g., 30) and you'll get too many alerts; too high (e.g., 90) and you'll miss important issues. A threshold of 60–70 is a good starting point
- Keep admin email addresses current - If an admin leaves, remove them from Tenaxis so they don't continue to receive notification emails
